Comparing the central registry to a collection's data file.
You must click the
Connect button to connect to the specific data file. This will connect to the specific data file and show it along side the Registry.
To add a new item record from the Registry to the collection data file, simply double-click the Unique ID field (of the item to copy). You will be prompted to make sure and it will automatically check to see if the Item ID already exists (if so, record is not copied).
To open the full registration details form, double-click the ID record of the Item you would like to view. You can make changes via the Registration form while in Compare mode.
The RegistrationCMD automatically detect which data file you have connected to. However, information copied varies slightly - note teh following:
Collection data:
- The Registry stores basic Producer details and this is transferred to the Keywords field on the collection's data file. The Collection Manager will need to check whether to add or link the producer.
- 2 x field data is not transferred from the Registry: Other ID and Management Notes.
- Source goes to the External Source field in the Management section of the collection's data file.
- When the data is transferred the following are set on teh collection's Management form:
- Complete = No
- Verified = No
- Query = Yes. This means Collection Manager can locate record set to their collection data file from the Registry.
- Internet = No
Note the Registry Description goes to the Summary field in the ResourceMD.
